Ask HR for the right information

Send HR the actual destination checklist. Do not assume a standard salary certificate covers everything required.

A practical drafting brief

The following is an original request structure for HR, not an official consular template:

  • Identify the employee exactly as in the passport.
  • Describe the real employment relationship.
  • Give the proposed leave dates and expected return to work.
  • State who pays for the journey if the employer is involved.
  • Include the appropriate company contact and authorised signature.
  • Add any destination-specific fields requested by the checklist.

Have the employer verify and issue the final letter. Do not sign for an authorised officer or add a company stamp yourself.

When the residence sponsor is different

A family sponsor and an employer can be different people or entities. Explain that distinction rather than making one letter imply a relationship that does not exist.

If your spouse pays for the holiday, the employer’s leave approval does not prove the spouse’s funds. Keep employment and financial sponsorship evidence separate.

Self-employed, dependent or between jobs

Do not obtain a fictional NOC. Use the destination’s instructions for business owners, dependants or other circumstances. For a recent job change, compare the application date with the dates stated by both employers and explain the transition accurately.

Check consistency before submission

Compare the leave period with flights, accommodation and insurance. Ensure contact information belongs to someone authorised to answer verification questions.

If the company cannot provide a requested field, ask the official centre about acceptable alternatives. An internet template cannot override that requirement. See the document checklist to place the letter in the complete file.

Employer-letter example to adapt

This is an original drafting aid, not an embassy-approved form. Replace each bracketed field with truthful information and have the authorised employer issue the final version.

To the visa officer: [Full name, passport number] has worked with [company] as [role] since [date]. Their salary is [accurate amount and currency]. Leave is approved from [date] to [date] for [actual purpose and destination], with an expected return to duties on [date]. [Accurate statement of any company funding, or omit.] For verification, contact [authorised contact, role and company details]. [Date, authorised signatory and required company authentication.]

Compare that draft with the destination checklist: it is not a claim that every listed field is required everywhere. Do not use it where an official form is prescribed. Italy’s Abu Dhabi embassy provides separate company and individual sponsor forms for tourism. Official Italy forms.

A sponsor letter does a different job

If your spouse pays, the explanation should identify the relationship, travellers, dates and expenses covered. It should not pretend the spouse is your employer. Use the sponsorship guide to organise the accompanying evidence.

When HR cannot use your preferred wording

Provide HR with the official checklist and identify the missing field. Do not ask for facts the employer cannot verify, such as a made-up salary or guarantee of your visa approval.

If the company uses a fixed format, seek official clarification about whether a separate factual confirmation is acceptable. Keep explanations short and consistent with your bank records and travel dates.
