There are three clocks

First you need an appointment. Then the application is examined. Finally, you need the passport back. Treating all three as “15 days” creates an unreliable travel plan.

The European Commission describes normal processing of 15 days, potentially extended to 45 for further examination or documents. Its usual filing window is no earlier than six months and at least 15 days before travel. That minimum is not a recommendation to leave everything until the last fortnight.

Read the destination’s current notice

At this source check, the Dutch processing page warns that the average may increase to 25 calendar days during high season and explains that processing starts when its Consular Services Organization receives the necessary documents and passport. Passport collection follows the decision notification.

Do not turn that Dutch estimate into a figure for France, Germany or every application submitted in Dubai. Nor does a friend’s faster decision establish your likely date.

Plan backwards from departure

Make a small schedule containing:

  • The intended departure and the latest acceptable passport-return date.
  • An appointment date that leaves a realistic buffer.
  • The expiry of any reservations or cancellation rights.
  • Time needed to obtain employer, sponsor or translated documents.
  • Any other travel for which you will need the same passport.

Keep the appointment confirmation and tracking reference. Follow the official tracking route; repeated messages to unrelated embassy departments are not a substitute.

If departure is approaching

Check whether the authority offers an urgent process for your actual circumstances. Do not assume a paid comfort service changes the consular timeline.

Ask about the consequences before requesting your passport back; withdrawal can affect the pending application. If the visa is not ready, reconsider travel rather than assume you can board or receive the visa on arrival.

What does a tracking message tell me?

Record the reference number and use the tracker linked by your own submission centre. Messages describing forwarding or processing do not themselves tell you whether a visa has been granted. Wait for the returned decision documents and inspect them.

A useful private log has the submission date, any additional-document request, the date you responded and the collection notification. Avoid posting passport numbers or tracking references in public groups.

Can I take my passport back for another trip?

Ask the responsible official route before booking that trip. Germany’s UAE tourism guidance says withdrawing the passport through its stated process cancels or withdraws the pending application. Austria’s UAE instructions describe a passport-return arrangement through VFS after submission to the embassy. These are different procedures, not a Schengen-wide promise. Germany · Austria.

Ask whether the application continues, how the request is made, how return is arranged and whether resubmission is needed. Do not infer that a collection option advertised by one operator applies to another country.

Plan around reservation deadlines

Keep a separate calendar for hotel cancellation deadlines and flight holds. Processing estimates do not extend those commercial deadlines. Use the reservation guide to avoid confusing a genuine booking hold with a permanently confirmed ticket.
